RECORDING CUSTOMER DETAILS; HOW WE USE INFORMATION COLLECTED FOR NHS TEST & TRACE

To support NHS Test and Trace (which is part of the Department for Health and Social Care) in England, we have been mandated by law to collect and keep a limited record of staff, customers and visitors who come onto our premises for the purpose of contact tracing.

By maintaining records of staff, customers and visitors, and sharing these with NHS Test and Trace where requested, we can help to identify people who may have been exposed to the coronavirus.

As a customer/visitor of Ildiko`s Artisan Chocolates Ltd you will be asked to provide some basic information and contact details. The following information will be collected:

  • the names of all customers or visitors, or if it is a group of people, the name of one member of the group
  • a contact phone number for each customer or visitor, or for the lead member of a group of people
  • date of visit and arrival time and departure time

The venue/establishment as the data controllers for the collection of your personal data, will be responsible for compliance with data protection legislation for the period of time it holds the information. When that information is requested by the NHS Test and Trace service, the service would at this point be responsible for compliance with data protection legislation for that period of time.

The NHS Test and Trace service as part of safeguarding your personal data, has in place technical, organisational and administrative security measures to protect your personal information that it receives from the venue/establishment, that it holds from loss, misuse, and unauthorised access, disclosure, alteration and destruction.

In addition, if you only interact with one member of staff during your visit, the name of the assigned staff member will be recorded alongside your information.

NHS Test and Trace have asked us to retain this information for 21 days from the date of your visit, to enable contact tracing to be carried out by NHS Test and Trace during that period. We will only share information with NHS Test and Trace if it is specifically requested by them.

For example, if another customer at the venue reported symptoms and subsequently tested positive, NHS Test and Trace can request the log of customer details for a particular time period (for example, this may be all customers who visited on a particular day or time-band, or over a 2-day period).

Under government guidance, the information we collect may include information which we would not ordinarily collect from you and which we therefore collect only for the purpose of contact tracing. Information of this type will not be used for other purposes, and NHS Test and Trace will not disclose this information to any third party unless required to do so by law (for example, as a result of receiving a court order). In addition, where the information is only collected for the purpose of contact tracing, it will be destroyed by us 21 days after the date of your visit.

However, the government guidance may also cover information that we would usually collect and hold onto as part of our ordinary dealings with you (perhaps, for example, your name, date of birth and phone number). Where this is the case, this information only will continue to be held after 21 days and we will use it as we usually would, unless and until you tell us not to.

Your information will always be stored and used in compliance with the relevant data protection legislation.

The use of your information is covered by the General Data Protection Regulations Article 6 (1) (c) – a legal obligation to which we as a venue/establishment are subject to. The legal obligation to which we’re subject, means that we’re mandated by law, by a set of new regulations from the government, to co-operate with the NHS Test and Trace service, in order to help maintain a safe operating environment and to help fight any local outbreak of corona virus.

By law, you have a number of rights as a data subject, such as the right to be informed, the right to access information held about you and the right to rectification of any inaccurate data that we hold about you.

You have the right to request that we erase personal data about you that we hold (although this is not an absolute right).

You have the right to request that we restrict processing of personal data about you that we hold in certain circumstances.

You have the right to object to processing of personal data about you on grounds relating to your particular situation (also again this right is not absolute).

If you are unhappy or wish to complain about how your information is used, you should contact a member of staff in the first instance to resolve your issue.

If you are still not satisfied, you can complain to the Information Commissioner’s Office. Their website address is www.ico.org.uk.

SHOP REOPENING ON 6th JUNE 2020

After thoughtful consultation with Buckinghamshire and Surrey Trading Standards we are excited to announce that our shop will be re-open from Saturday, 6th June 2020.  The safety of our customers and our team remains the highest priority therefor we have introduced the following new measures.

  • The removal of indoor and outdoor tables – To decrease the number of unnecessary human interactions, we have temporarily removed all seating facilities. Our usual cakes and ice creams will be available to purchase for take away only.
  • Use of our paper take away cups only– To further increase hygiene, we are now only serving hot drinks in our takeaway cups and, temporarily, we are not able to serve drinks in reusable cups provided by customers. However, as part of our corporate social responsibility scheme, we have ensured all of our takeaway cups and lids are fully compostable.
  • Lids for take away cups will be available however our team will not be able to assist you to place them on your cups.
  • Water bottle refill scheme has been suspended till further notice.
  • Hot drinks, cakes, ice creams or any other products purchased in the chocolate shop are not allowed to be consumed neither in store nor outside front of our shop.
  • No product samples availble during this time.
  • Over the counter service will be available during this time. 
  • We will encourage our customersto use hand sanitisers provided by the shop.
  • A policy of only one (or two per same households) customer(s) in order reduce human interaction inside the Chocolate Shop at any given time. 
  • In case there are other customers waiting or staying already instore please wait front of the shop outside, maintain 2meters (6feet) distance and do not block the entrance. 
  • Please use our CLICK&COLLECT service whenever is possible.
  • Encouragement of cashless payments – While we will still accept cash, we prefer and encourage contactless payment. We accept all major debit and credit cards (including Amex) as well as Google and Apple Pay. We have also implemented mobile payment as an alternative; for request we send a link to your device and you can enter your card details on your phone. 

We would appreciate your continued support in this uncertain and challenging economical time, thank you for your co-operation to help our shop safe for other customers and our team.

CLICK & COLLECT SERVICE AVAILABLE FROM 1st JUNE 2020

While our shop will remain closed for the public till 15th June 2020, in line with the government guidelines we are pleased to announce that we will be offering CLICK & COLLECT service as from Monday, 1st June 2020. 

  1. Orders can be placed online, on our website httms://ildikoschocolate.co.uk or over the phone, by calling our shop at ​01372451368
  2. Online orders: Please choose CLICK & COLLECT as delivery method by check out. Payment can be made directly online or alternatively there is an option to request a call back to pay over the phone. You will receive an email to confirm your order and we will send you a second email to notify you when your order is ready to be collected.
  3. Phone orders: Payment will be taken over the phone. 
  4. Collection time: Once you have been notified your order is ready for pick up you can collect your items from our store at 17 High Street Bookham KT23 4AA, from Monday - Saturday; 10.00AM - 3.00PM. Please ring the doorbell when you arrive to our shop. You may not enter to the shop we will bring your order to you. In case there are other customers waiting please wait front of the shop outside, maintain 2meters (6feet) distance and do not block the entrance.

TEMPORARY SHOP CLOSURE ON 24th March 2020 (Updated on 24/03/2020, 09:51)

Following the announcement from Downing Street last night, which called for all non essential shops to close, we regretfully have to inform you that we are temporarily closing as of Tuesday 24th March 2020 until further notice.

We are continuing with our deliveries, which includes free local delivery within a 5 miles radius of KT234AA on orders over £10 and nationwide free delivery on orders over £30. Orders can be placed either online at www.ildikoschocolate.co.uk or via phone on 01372 451368.

All deliveries will have a cut-off point at 2:00PM. Local deliveries will then be delivered between 3:00PM and 6:00PM and nationwide deliveries will be dispatched shortly after 2:00PM. Please note, that all local deliveries will be contact free (must be paid online or via phone and upon delivery, the items will be placed on your door step, we will ring you to say it’s outside and wait until you arrive to pick up your order).

We would appreciate your continued support in this uncertain and challenging economical time.

Following the statement that we published yesterday, unfortunately we are having to take a few future actions following events from today. After the announcement made by Downing Street yesterday which urged people to stay at home and not to take unnecessary trips to avoid as much human contact as possible, we are very grateful to say that we have started receiving a lot of online orders. While we really appreciate everyone's support, it did mean that we spent the majority of the day running around between Bookham, Fetcham, Effingham, Leatherhead and our shop and despite these uncertain times due to the Covid-19 outbreak, we still want to ensure that we are following our corporate social responsibility scheme which reduces our carbon footprint. Therefore, we have decided that instead of making a lot of independent delivery trips, we will try to combine them as much as possible. To achieve this, what we are introducing is that there will be an order cut off at 2:00PM, which allows us to make all deliveries between 3:00PM and 6:00PM (Monday to Saturday). Any orders after this cut off point will automatically carry on to the next delivery day.

As an independent retailer, we love seeing Bookham so busy, however, with the government's advice of people staying at home, our first priority is to ensure all of our customers, our community and us to be safe and keep healthy. The only way to achieve this will be to reduce the number of people on the High Street. To encourage this, we are temporarily changing our opening hours, where we are open from 9:00AM to 2:30PM on Mondays to Saturdays and closed on Sundays. As we announced yesterday, we have introduced a Click & Collect service (which is available to collect within 30 minutes after the order has been sent during opening hours) to speed up the shopping experience for all of our customers, especially as we have now introduced a strict policy of only two people in store at any given time (as announced yesterday).

All of these changes will be as of Sunday 22nd March 2020.

We really are very grateful for the Community's support ever since we have opened and would appreciate everyone's continued support in these uncertain and challenging economical time. To say thank you and to give back to the Community, as of tomorrow (22/03/2020), we are offering 50% off our hot drinks for NHS workers and other emergency services (but please ensure that you have your NHS / emergency service ID card with you).

Statement from the management of Ildiko's Artisan Chocolate Ltd. regarding the Covid-19 outbreak.

At Number 10 Downing Street, the Prime Minister made an announcement tonight, stating that “We need to push down further on the curve of transmission between us.  
“We are collectively telling cafes, pubs, bars and restaurants to close tonight (20/03/2020) as soon as they reasonably can and not to open tomorrow; though to be clear, they can continue to provide take out services.”

Please let us assure you, that our number one priority is to ensure that we are helping for the local community to stay healthy along with minimising the chances of this virus spreading. Since the start of the Covid-19 outbreak in England, we have taken numerous actions to ensure a greater level of hygiene in our shop. Examples of this included the fact that we have provided a antibacterial gel dispenser, increased sanitising (including door handles, the card reader, tables and chairs, along with other highly touched areas), putting out the take-away cups’ lids out instead of us putting them on and introducing free local delivery on orders over £10.00 - all to minimise the probability of our customers and the community catching and spreading the virus.

While we are a chocolaterie and not a café, we will still have to introduce numerous drastic measures after the announcement made by Downing Street. These changes include:

  • The removal of indoor and outdoor tables – To decrease the number of unnecessary human interactions, we have temporarily removed all seating. We will continue to serve our usual hot drinks and desserts, however, these will be for take away only.
  • Local delivery – We encourage everyone to order online as we continue to offer free delivery over £10 in a 5 mile radius of KT23 4AA, instead of coming into the High Street. We have a zero contact delivery policy, in which all orders are picked and packed in a highly hygienic condition and upon arrival, the driver places the item on your door step, steps back to a safe distance and waits until you collect your order. We only accept pre-payment for deliveries to reduce unnecessary human interactions.
  • A policy of only two customers instore at any given time – To further reduce human interaction, we now only permit two customers inside the Chocolateire at any given time. To reduce waiting times, we have also implemented a Click & Collect service which is available on our website.
  • Postponements of all public and private workshops – As all public gatherings have now been banned, we have postponed all workshops until further notice. We have contacted all individuals who have booked for these.
  • Encouragement of cashless payments – While we will still accept cash, we prefer and encourage contactless payment. We accept all major debit and credit cards (including Amex) as well as Google and Apple Pay. We have also implemented mobile payment as an alternative.
  • Use of our paper take away cups only – To further increase hygiene, we are now only serving hot drinks in our takeaway cups and, temporarily, we are not able to serve drinks in reusable cups provided by customers. We have not made any of these decisions lightly, however, they have had to be implemented as we do not want this virus to spread even further and we appreciate your co-operation in advance.

We endeavor to stay open as long as possible, with our usual business hours (Monday to Saturday: 9:00AM-5:30PM, Sundays: 11:00AM-4:00PM) until we receive further information from the government. If possible, even if all shops are directed to shut, we will still continue with local deliveries and would especially appreciate the community’s help and support in this difficult and uncertain time ahead.

On the behalf of the rest of the independent stores of Bookham, we would like to thank every member of the community for their support so far.
